To ensure that every journey runs smoothly, both the client and the company are expected to understand and accept the following Terms and Conditions. By confirming a booking, the client acknowledges that they have read, understood, and agreed to these conditions.
Once the client and the company have agreed upon the proposed itinerary, travel dates, services, accommodation, transportation, activities, and total price, the client must complete the required booking or agreement form provided by the company.
A booking becomes confirmed only after the required deposit has been received by the company. The booking confirmation represents an agreement between the client and Himalayan Adventure Intl Treks & Expedition to provide the services described in the agreed itinerary.
Clients are responsible for carefully checking their booking information, including names, passport details, travel dates, itinerary, and selected services. Any incorrect information supplied by the client may result in additional charges or difficulties during the trip.
A deposit of 10% of the total trip cost per person, or another amount mutually agreed upon in writing, is required to secure a booking. The booking will be considered confirmed once the agreed deposit has been received.
The remaining balance must normally be paid at least 60 days before the scheduled departure date, unless another payment schedule has been agreed upon in writing.

Any bank transfer charges, intermediary bank fees, or other transaction costs are the responsibility of the client. Payments made by credit card may be subject to an additional 4% processing charge, unless otherwise agreed.
If the outstanding balance is not received by the agreed deadline, the company reserves the right to cancel the booking. In such circumstances, the applicable deposit or cancellation charges may be retained according to these Terms and Conditions.
Where possible, the company may offer an alternative departure date, subject to availability and agreement between both parties.
Himalayan Adventure Intl Treks & Expedition makes every reasonable effort to operate confirmed departures as planned. However, certain trips, particularly fixed-departure programs, may depend on achieving a minimum number of participants.
If the company must cancel a confirmed trip because the minimum number of participants has not been reached, the company will normally notify the client as early as reasonably possible and, where practical, offer an alternative departure or comparable program.
If the client does not wish to accept the alternative arrangement, the company will provide a refund of eligible amounts paid, according to the circumstances and applicable payment conditions.
The company will not normally be responsible for additional expenses or losses incurred independently by the client, including international or domestic flights, visa expenses, accommodation booked separately, travel arrangements, or other consequential costs.
If the client decides to cancel a confirmed trip for personal reasons, the cancellation must be submitted to the company in writing.
The initial deposit is generally non-refundable and will be forfeited upon cancellation, unless otherwise agreed in writing or where a different cancellation arrangement is required by applicable law.
Additional cancellation charges may apply depending on the timing of the cancellation, permits already obtained, transportation arrangements, accommodation bookings, flights, government fees, expedition arrangements, or payments already made to local service providers.
Clients are therefore strongly advised to obtain comprehensive travel insurance that includes cancellation and interruption protection.
Adventure travel in the Himalayas is influenced by weather, road conditions, flight schedules, political or administrative restrictions, natural events, trail conditions, local regulations, and other circumstances beyond the company's control.
The company reserves the right to make reasonable changes to an itinerary when necessary for safety, operational, logistical, environmental, or regulatory reasons.
Where a significant change is proposed in advance, the company will communicate the change to the client and, wherever practical, discuss available alternatives.
If a major change is unacceptable to the client and cancellation is permitted under the circumstances, the parties will discuss the appropriate refund or alternative arrangement. Where an alternative itinerary is accepted, any additional costs will be discussed and agreed upon before implementation whenever reasonably possible.
Clients may request changes to their itinerary, travel dates, accommodation, transportation, activities, or other services.
The company will assess whether the requested change is practical and available. Changes may be subject to additional costs, permit requirements, transportation charges, accommodation fees, airline charges, guide or porter arrangements, and administrative expenses.
Any additional costs resulting from a client-requested change will be communicated and agreed upon before the change is confirmed whenever possible.
Changes are not guaranteed and remain subject to availability and local conditions.
Adequate travel insurance is essential for all Himalayan journeys. Clients must arrange suitable insurance before departure and should carry evidence of valid coverage during the trip.

For high-altitude trekking and expedition programs, insurance that specifically covers the maximum altitude and nature of the planned activity is particularly important.
The company reserves the right to refuse or cancel participation if a client cannot demonstrate appropriate insurance coverage where such coverage is considered necessary for the program.
The company does not act as the client's insurer and is not responsible for costs that should reasonably be covered by the client's insurance policy.
Participation in Himalayan trekking, mountaineering, expedition, and adventure programs requires an appropriate level of physical fitness and preparation.
The client is responsible for determining whether they are medically and physically fit to participate. Clients should consult a qualified medical professional before undertaking strenuous or high-altitude travel, particularly if they have any existing medical concerns.
Clients must provide accurate and relevant information concerning health conditions, medications, allergies, or other circumstances that may affect their ability to participate safely.
The company may require medical clearance for certain demanding programs.
High-altitude environments involve inherent risks, including altitude-related illness and changing weather conditions. Guides and company representatives may make decisions concerning rest, acclimatization, route changes, or descent where they believe these measures are necessary for safety.
Clients are responsible for obtaining any vaccinations, health certificates, medications, or preventative treatments required for their destination and nationality.
Travel health requirements can vary according to destination and may change without notice. Clients should obtain current advice from qualified medical professionals and relevant government authorities before departure.
The company may provide general travel information but does not provide medical advice. Responsibility for personal health preparation remains with the client.
Flights and transportation in mountainous regions can be affected by weather, technical issues, airport conditions, road closures, natural events, and other circumstances outside the company's control.
Domestic Himalayan flights may be delayed or cancelled because of poor visibility, strong winds, weather conditions, operational restrictions, or other safety considerations.
If delays or cancellations occur, the company will make reasonable efforts to arrange alternative transportation or accommodation where possible. Additional costs resulting from circumstances beyond the company's control may be payable by the client.
Clients should allow sufficient flexibility in their travel schedules and avoid arranging tight international flight connections immediately after mountain programs.
Himalayan Adventure Intl Treks & Expedition works with experienced guides, porters, drivers, hotels, airlines, and other local service providers.
The company expects all service providers to maintain appropriate professional and safety standards. However, services in remote mountain areas may differ from those available in major cities.
Clients are expected to treat guides, porters, drivers, hotel staff, local communities, and fellow travelers with courtesy and respect.
Clients must follow reasonable instructions provided by their guides, particularly those relating to health, safety, weather, route conditions, and environmental protection.
Clients are responsible for their own passports, money, electronic devices, luggage, clothing, equipment, and personal belongings throughout the journey.
The company cannot accept responsibility for loss, theft, or damage to personal property unless such responsibility is specifically established under applicable law.
Clients should use appropriate luggage, keep important documents secure, and avoid carrying unnecessary valuables during trekking and expedition activities.
Clients are responsible for providing valid passports, visas, photographs, permits, vaccination documents, insurance details, and other required documentation within the necessary timeframes.
The company may assist with obtaining trekking permits, national park permits, conservation-area permits, expedition permits, and other required documents where these services form part of the agreed program.
All travel must comply with the laws and regulations of the relevant country or region.
Trips to Tibet are subject to the regulations and requirements established by the relevant Chinese and Tibet tourism authorities. Permits, travel procedures, transportation arrangements, and access restrictions may change according to government regulations.

If a client experiences a problem during a trip, they should first inform their group leader, guide, or local representative as soon as possible. Early notification gives the company an opportunity to investigate the problem and take reasonable corrective action while the trip is still in progress.
If the matter remains unresolved, the client may contact the company's Operations or Marketing Manager and/or Managing Director.
If a complaint cannot be resolved during or immediately after the trip, the client should submit the complaint in writing to the Managing Director, providing relevant details and supporting information.
The company will review the complaint and attempt to reach a reasonable resolution. If both parties remain unable to resolve the matter, they may mutually agree to appoint an independent third-party arbitrator.
Mountain travel involves inherent risks and uncertainties. These may include extreme weather, landslides, avalanches, earthquakes, floods, road closures, flight disruptions, political restrictions, strikes, illness, accidents, natural disasters, government decisions, or other unforeseen events.
Where circumstances beyond the reasonable control of the company affect the itinerary, the company will make reasonable efforts to protect the client's safety and continue the journey through practical alternatives.
However, additional expenses arising from such circumstances may be payable by the client unless otherwise covered by the agreed package or insurance.
By making a booking or payment, the client confirms that they have read and understood these Terms and Conditions and agree to comply with the requirements applicable to their chosen program.
The client also acknowledges that Himalayan trekking, mountaineering, and adventure travel involve risks that cannot be completely eliminated.
The company will make reasonable efforts to provide professional services, appropriate arrangements, experienced staff, and responsible support throughout the journey.
These Terms and Conditions shall be governed by the applicable laws of Nepal. Any dispute arising from the services provided by Himalayan Adventure Intl Treks & Expedition should first be addressed through discussion and mutual resolution.
Where an amicable solution cannot be reached, the matter shall be handled according to the applicable legal and dispute-resolution procedures of Nepal.
Programs operated in other countries or regions may also be subject to the laws, regulations, permit requirements, and administrative procedures applicable in those destinations.
